In this notice, “we”, “us” and “our” refer to Lynn Scott Coaching Ltd. “You” and “your” refer to the person completing the scorecard.
2. What this Privacy Notice covers
This Privacy Notice explains how we collect, use, store and protect your personal information when you:
- Complete the Walk into Any Room Knowing You Belong Scorecard
- Receive your scorecard results
- Choose to receive follow-up emails, practical leadership insights or information about our masterclass, programmes and services
- Contact us with a question or request relating to the scorecard
The scorecard is intended for adults aged 18 and over. We do not knowingly collect personal information from children.
3. Information we collect
When you complete the scorecard, we may collect:
- Your name
- Your email address
- Your answers to the scorecard questions
- Your scores and results across the five Quiet Power Method™ facets
- Your overall score, category or tier
- Whether you have chosen to receive ongoing email communications
- The date and time of your submission and consent
- Records of communications between you and us
- Technical information collected by the platforms we use, which may include your IP address, browser, device and operating system information
Please do not include confidential, sensitive or identifying information about your employer, colleagues, clients or other individuals in any information you submit.
4. How we use your information
We may use your information to:
- Administer the scorecard
- Calculate and provide your results
- Send you information directly connected with your scorecard and results
- Respond to questions or requests from you
- Maintain appropriate business, security and compliance records
- Analyse how the scorecard is used
- Review and update the scorecard questions, scoring and results information so that the scorecard remains relevant and produces useful, accurate and meaningful results
- Protect the security and proper operation of our systems
- Send you follow-up emails, practical leadership insights and information about our masterclass, programmes or services when you have actively chosen to receive them
Where possible, information used to review and improve the scorecard will be analysed in an aggregated or anonymised form.
We will not sell your personal information.
5. Our lawful bases for using your information
We rely on different lawful bases depending on how and why we use your personal information.
Providing the scorecard and results
We process your name, email address, answers and results so that we can administer the scorecard and provide the results you requested.
Our lawful basis for this processing is the performance of a contract. This means that we need to process your personal information to fulfil our obligations to you in providing the scorecard and its results.
Marketing and follow-up emails
Where you have actively opted in, we may use your information to send you ongoing follow-up emails, practical leadership insights and information about our masterclass, programmes and services.
Our lawful basis for this processing is your consent. Receiving your scorecard results does not automatically subscribe you to marketing communications. You will only be added to our marketing email list when you actively select the optional consent box.
Legal and administrative records
We may process limited personal information where necessary to:
- Comply with a legal obligation
- Maintain accurate business and consent records
- Handle complaints or requests
- Establish, exercise or defend legal rights
- Prevent misuse, fraud or security incidents
The applicable lawful basis may be legal obligation or our legitimate interests, depending on the circumstances.
6. Consent and withdrawing consent
Where we rely on your consent, you may withdraw it at any time.
You can do this by:
- Clicking the unsubscribe link in any marketing email

Withdrawing your consent will not affect the lawfulness of any processing carried out before your consent was withdrawn.
We may retain a minimal suppression record after you unsubscribe. This allows us to record your preference and helps prevent you from being added back to marketing communications accidentally.
7. How the scorecard calculates your results
ScoreApp automatically calculates your results using predetermined scoring rules based on the answers you provide.
It produces results across the five facets of The Quiet Power Method™:
- Quality of Presence
- Unwavering Self-Trust
- Inner Authority
- Emotional Robustness
- Tangible Outcomes
Your results may also place you within one of the scorecard tiers.
The scorecard is provided for personal development and educational purposes.
Your results are not used to make employment, financial, legal or similarly significant decisions about you.
The scorecard does not provide a psychological, medical or clinical diagnosis.
8. Who has access to your information
Access to your personal information within Lynn Scott Coaching Ltd is limited to people who need it to:
- Administer the scorecard
- Manage communications
- Provide support
- Maintain our systems
- Meet our legal and compliance responsibilities
We also use trusted service providers that process personal information on our behalf.
These currently include:
ScoreApp
We use ScoreApp to host and administer the scorecard, collect responses and calculate results.
ScoreApp may have access to the personal information required to provide, maintain and support its services.
Zapier
Where you have consented to receive ongoing email communications, we may use Zapier to transfer relevant information from ScoreApp to Kajabi.
This may include your name, email address and consent status.
Zapier acts as an automation service provider and processes information in accordance with the instructions set within our automated workflow.
Kajabi
We use Kajabi to manage contacts, email communications, follow-up resources and related marketing activities.
Where you have actively opted in, your name and email address may be transferred to Kajabi and added to the relevant email sequence.
Our service providers are required to process personal information securely and only for the purposes for which they have been engaged.
We may also disclose personal information where required by law, regulation, court order or a relevant authority, or where necessary to establish, exercise or defend legal rights.
9. International transfers
Some of our service providers, associated companies or technical infrastructure may process personal information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate legal safeguard is in place.
These safeguards may include:
UK adequacy regulations
We may transfer personal information to countries that have been recognised by the UK Government as providing an adequate level of data protection.
Approved contractual safeguards
Where a country is not covered by UK adequacy regulations, we may rely on approved contractual safeguards, such as:
- The UK International Data Transfer Agreement
- The UK Addendum to the European Commission’s Standard Contractual Clauses
- Another legally recognised transfer mechanism

10. Your data-protection rights
Depending on the circumstances and the lawful basis being relied upon, you may have the following rights:
- Right of access : You may request a copy of the personal information we hold about you. This is commonly known as a Subject Access Request.
- Right to rectification : You may ask us to correct personal information that is inaccurate or complete information that is incomplete.
- Right to erasure : You may ask us to delete your personal information in certain circumstances, including where it is no longer required for the purpose for which it was collected. This right is subject to legal limitations. We may need to retain certain information where required by law or where necessary to establish, exercise or defend legal rights.
- Right to restrict processing : You may ask us to restrict the way we use your personal information in certain circumstances, such as while the accuracy of the information is being checked.

- Rights relating to automated decision-making : You may have rights relating to certain automated decisions that produce legal or similarly significant effects. The scorecard does not make decisions of this nature. It uses predetermined scoring rules to provide personal development results.
To exercise any of these rights, contact pat@lynnscottcoaching.co.uk. We will normally respond within one month. In some circumstances, the law allows additional time. We will tell you if this applies. We may ask you to provide information confirming your identity before responding to a request.
11. How long we retain your information
We retain personal information only for as long as reasonably necessary for the purposes described in this notice.
We currently intend to retain:
- Scorecard answers, scores and results for up to three years after your last interaction with us
- Contact and marketing information while you remain subscribed
- Consent records for as long as reasonably necessary to demonstrate compliance
- Suppression records for as long as reasonably necessary to respect your communication preferences
- Financial, contractual, legal or regulatory records for any longer period required by law
We may delete or anonymise personal information earlier when it is no longer required. At the end of the relevant retention period, information will be deleted, securely destroyed or anonymised.
12. Data security
We use appropriate technical and organisational measures to protect your personal information from accidental or unlawful loss, alteration, disclosure, misuse or unauthorised access.
These measures may include:
- Password-protected accounts and systems
- Restricted access to personal information
- Appropriate device and account security
- The use of established third-party service providers
- Confidentiality obligations for people who have access to personal information

The scorecard, your results or our emails may contain links to websites operated by other organisations. We are not responsible for the privacy practices, security or content of those websites. We recommend reading the privacy notice of any third-party website before providing personal information.
15. Changes to this Privacy Notice
We may update this Privacy Notice when our services, suppliers, working practices or legal obligations change. The latest version will be published on our website or made available through the scorecard. The effective date and last-updated date will appear at the top of the notice. Where a change materially affects how we use your personal information, we will take reasonable steps to bring it to your attention.
